Entering a Work Order in CIWO

    CIWO for Mobile lists all locations and services for which you are permissioned to enter work orders. Ensure all of the locations and services you perform for your clients are listed in CIWO when you first download the app. Should you not see the services you perform for a location, speak with your client about configuration. You may also be able to enter work orders for services not listed in the app.

    Choosing a Service in CIWO

    When you are ready to enter a work order, the first thing you must select is a Location. Your location list automatically populates with those within a certain mile radius of your mobile device.

    Note: By default the radius is 3 miles, however your client may configure a different radius.

    To enter CIWO work orders outside of that radius, you must first search for a location.

    How you enter work orders dictates how your work will be validated and confirmed:

    Using CIWO while Inside the Configured Mile Radius

    Service providers using CIWO are strongly recommended to enter work orders while onsite. This provides transparency for you and your locations on the work that was done, as well as when it was done. Once you have completed work and have entered the work order in CIWO, the work order automatically goes to the Completed/Pending Confirmation status where a location user can simply check off that you have done the work specified. This allows you to invoice faster.

    In CIWO, locations within the configured mile radius of your mobile device appear in the list by default. Should you not see any locations listed, you may be outside of the configured mile radius.

    How to enter a CIWO work order while INSIDE of the configured mile radius:

    1. On the CIWO home page, enter your PIN.
    2. (Optional) Select Remember PIN for CIWO mobile to retain your PIN so you do not have to enter it again in the future.
    3. Tap Login. The Choose Location page appears, listing all assigned locations within your mile radius.
    4. Tap the appropriate location.
    5. Under Choose Service, select the appropriate service.
    6. Select the appropriate type(s) of service rendered. (Note: You may select more than one type of service, as appropriate.)
    7. Select the scope of work.
    8. On the Choose Photos page, tap the + plus sign to either take a new photo/video or add one from your mobile device’s library.
    9. Tap Next.
    10. Review the confirmation page to ensure the service(s) and photo(s)/video(s) selected are summarized for the correct location.
    11. Tap Create. The confirmation page appears, with the tracking number and the status of the work order.

    12. Tap Complete. The app returns to the Choose Service page.

    Using CIWO Outside of the Configured Mile Radius

    It is not recommended to use CIWO outside of the configured mile radius. CIWO work orders entered outside of the mile radius have additional levels of validation for the facility management team. These work orders take more time to process on the facility operations side, and thus longer for you to invoice your clients.

    CIWO work orders entered through this method go into the In Progress/Validation Required status for further checks and processing.

    How to enter a CIWO work order while OUTSIDE of the configured mile radius:

    1. On the CIWO home page, enter your PIN.
    2. (Optional) Select Remember PIN for CIWO mobile to retain your PIN so you do not have to enter it again in the future.
    3. Tap Login. An message appears, stating you are outside of the mile radius.

    4. Tap OK in the message, and then on the top of the page tap the Enter Location field.
    5. Enter location information (such as a Location Number, Location Name, address or zip code). The location list filters to the specified criteria.
    6. Tap the appropriate location.
    7. Under Choose Service, select the appropriate service.
    8. Select the appropriate type(s) of service rendered. (Note: You may select more than one type of service, as appropriate.)
    9. Select the level of service.
    10. On the Choose Photos page, tap the + plus sign to either take a new photo/video or add one from your mobile device’s library.
    11. Tap Next.
    12. Review the confirmation page to ensure the service(s) and photo(s)/video(s) selected are summarized for the correct location.
    13. Tap Create. The confirmation page appears, with the tracking number and the status of the work order.
