Running a Live Report

    A Live Report provides criteria for you to retrieve up-to-the-minute information on Open, In Progress, and Completed work orders across trades and locations. Any work order that falls into one of these statuses will appear in a live report immediately by default. By using filtering criteria, you may pare down the list to view just the work orders you need to see.

    Open Calls Only

    Retrieves work orders in the Open work order status.

    In-Progress Calls Only

    Retrieves work orders in the In Progress work order status.

    Open & In-Progress Calls

    Retrieves work orders in both the Open and In Progress work order statuses.

    Open & In-Progress Calls (excluding Parts on Order)

    Retrieves work orders in both the Open and In Progress work order statuses, omitting work orders in the In Progress / Parts on Order extended status.

    Open & In-Progress Calls (excluding Referred to FM)

    Retrieves work orders in both the Open and In Progress work order statuses, omitting work orders in the In Progress / Referred to FM extended status.

    Open & In-Progress Calls (excluding Maintenance)

    Retrieves work orders in both the Open and In Progress work order statuses, omitting work orders in the Maintenance category. These work orders are typically generated from the Preventive Maintenance module.

    Completed Calls Only

    Retrieves work orders in the Completed work order status, including work orders in the Completed/Pending Confirmation extended status and completed work orders that were invoiced.

    Invoiced Calls Only

    Retrieves completed work orders that were invoiced.

    All Calls

    Retrieves work orders in any status.

    All Calls (Long Format)

    Retrieves work orders in any status. Includes more search criteria than the “All Calls” report.

    How to run live report:

    1. In the top navigation bar, click WO Reports. The Work Order Reports page will appear.
    2. Click the desired report under the Live Reports section. The search criteria for the report will appear.
    3. Select the desired criteria. (Note: The criteria may change based on the report selected.)
    4. (Optional) On the bottom of the report select Report Type. (Note: The report is set to Viewable by default and will display on your screen. See Report Types, below.) 
    5. In the middle of the page, click Retrieve Report. The report appears based on the Report Type.

    Report Types

    There are 4 ways to run and view a report:

    • Viewable: The report will appear on the screen with links to attachments, notes, proposals, and other work order details. You may enter the number of work orders you wish to appear on a page.
    • Printable: The report will appear on the screen in a printable format (landscape orientation). Use your Internet browser’s capabilities to print the print the report to paper.
    • MS Excel: A system-generated Excel *.xls report that you may download and view in Microsoft Excel or other compatible spreadsheet software, where you may use manipulate the data as needed (for example: filtered lists or pivot tables)
    • Chart: A bar chart appears on the page, with links to the related service calls for your district and/or region. You will see both the number of calls and the total costs. Drill down by clicking a number to get specific information for the related data. You may create this report by trade, location (store), provider (provider/vendor), or assignee.
