Managing Provider Assignments for a Location

    A location can generate work orders for a trade when at least one service provider is assigned to that trade. This allows the work order to automatically dispatch to the assigned provider, in order to start the work.

    You may manage Provider Assignments from two places:

    Assigning and Removing Providers

    Under Provider Assignments a service provider may be either assigned to or retired from a trade for a location:

    • Assign: Adding a service provider to a trade for a particular location.
    • Retire: Removing a service provider from a trade for a particular location. The provider remains in the system, and can be assigned to that location or another location, if necessary.

    Ranks and Provider Assignments

    Service Providers are dispatched to a location based on Rank. By default, a work order is dispatched to the service provider assigned to the Rank 1 slot. If a Rank 1 provider declines a work order, you may reassign a work order to any other provider ranked below Rank 1. At anytime, you may change which service provider is assigned the Rank 1 slot for the desired Location(s).

    Managing Provider Assignments from the Location Page

    On the main Location page, you may assign a provider to a trade for desired Location(s). This is useful when you want to assign a single provider to a specific trade at a specific rank. For example, you may desire to assign a service provider as the Rank 2 provider under the HVAC trade for 3 locations.

    You may also retire a provider from a trade for desired Location(s), or retire all providers from all trades for a location. You may find using filters helpful to view which rank and trade the service provider is in, so to select the correct rank or trade.

    Managing Providers from the Locations Home Page

    How to Assign a service provider to a trade on the Locations page:

    1. On the Locations page, check the box(es) for the desired Location(s).
    2. On the bottom of the list, click Assign/Retire Providers for ’n’ Locations. (Note: ’n’ indicates the number of locations selected.) The Provider Assignment overlay appears.
    3. Select the desired service provider from the Provider drop-down menu. (Note: You may type a Provider’s name to filter the list to show all Providers with close matches to your input.)
    4. Select the desired Trade from the drop-down menu. (Note: You may type a Trade name to filter the list to show all Providers with close matches to your input.)
    5. Select the desired ranking position from the Rank drop-down menu.
    6. Click Next. The Provider Assignment confirmation page appears.
    7. Click Confirm. A green bar appears, indicating the provider assignment was saved.

    How to Retire a single service provider from a single trade on the Locations page:

    1. On the Locations page, check the box(es) for the desired Location(s).
    2. On the bottom of the list, click Assign/Retire Providers for ’n’ Locations. (Note: ’n’ indicates the number of locations selected.) The Provider Assignment overlay appears.
    3. Select the desired service provider from the Provider drop-down menu. (Note: You may type a Provider’s name to filter the list to show all Providers with close matches to your input.)
    4. Select the desired Trade from the drop-down menu. (Note: You may type a Trade name to filter the list to show all Providers with close matches to your input.)
    5. Select Retire from the Rank drop-down menu, listed as the first selection in the drop-down menu.
    6. Click Next. The Provider Assignment confirmation page appears.
    7. Click Confirm. A green bar appears, indicating the provider assignment was saved.

    How to Retire a single service provider from all trades on the Locations page:

    1. In the table, check the box above the first listed location to select all locations.
    2. On the bottom of the list, click Assign/Retire Providers for ’n’ Locations. (Note: ’n’ indicates the number of locations selected.) The Provider Assignment overlay appears.
    3. Select the desired service provider from the Provider drop-down menu. (Note: You may type a Provider’s name to filter the list to show all Providers with close matches to your input.)
    4. Select All Trades from the Trade drop-down menu.
    5. Select Retire from the Rank drop-down menu, listed as the first selection in the drop-down menu.
    6. Click Next. The Provider Assignment confirmation page appears.
    7. Click Confirm. A green bar appears, indicating the provider was removed from previous assignments.

    How to Retire all service providers from all trades on the Locations page:

    1. On the Locations page, check the box(es) for the desired Location(s).
    2. On the bottom of the list, click Assign/Retire Providers for ’n’ Locations. (Note: ’n’ indicates the number of locations selected.) The Provider Assignment overlay appears.
    3. Select All Providers from the Provider drop-down menu.
      • The Rank drop-down menu automatically changes to Retire, and cannot be changed.
    4. Select All Trades from the Trade drop-down menu.
    5. Click Next. The Provider Assignment confirmation page appears.
    6. Click the Acknowledged box. The Confirm button appears.
    7. Click Confirm. A green bar appears, indicating the provider was removed from previous assignments.

    Managing Provider Assignments from Location Details

    The Provider Assignments tab under Location Details allows you to manage multiple providers and multiple trades. From this view, you will see the list of Trades, as configured in the Administration module, and the service provider(s) associated with each Trade. You will see which providers are listed at which rank for each trade, and may manage the ranking for all service providers assigned to each trade.

    You may also see the list of trades with no providers assigned, or Open Trades. Any trade without a service provider is an Open Trade: work orders cannot be generated for Open Trades for the selected Location. To resolve an Open Trade, you must assign at least 1 service provider.

    Managing Providers from the Location Details

    How to assign a service provider to a trade from the Provider Assignments tab:

    1. Open the Location Details for the desired Location.
    2. Click the Provider Assignments tab. The Provider Assignments page appears.
    3. Click the desired Trade. The provider assignment overlay window for that trade appears.
    4. Select the desired number from the Rank drop-down menu.
    5. Select the desired service provider from the Select Provider drop-down menu. (Note: You may type a Provider’s name to filter the list to show all Providers with close matches to your input.)
    6. Click Add. The selected service provider will be added to the list, with a green checkmark next to it.
    7. Click Save. A green bar appears, indicating the provider assignment was saved. The service provider appears under the selected Trade.

    How to assign a service provider to an Open Trade from the Provider Assignments tab:

    1. On the Provider Assignments page, click Show ’n’ Open Trades. (Note: ’n’ indicates the number of open trades.) The list of open trades appears.
    2. Click the desired Trade. The provider assignment overlay window for that trade appears.
    3. Select the desired number from the Rank drop-down menu.
    4. Select the desired service provider from the Select Provider drop-down menu. (Note: You may type a Provider’s name to filter the list to show all Providers with close matches to your input.)
    5. Click Add. The selected service provider will be added to the list, with a green checkmark next to it.
    6. Click Save. A green bar appears, indicating the provider assignment was saved. The service provider appears under the selected Trade.

    How to update Provider Assignment Rankings from the Provider Assignments tab:

    1. On the Provider Assignments page, click the desired Trade. The Provider Assignment overlay window for that trade will appear.
    2. For the desired Provider, select the desired rank from the Rank drop-down menu. A checkmark will appear next to the changed line.
    3. If you select a Rank that is already taken, you must change the Rank of the other provider in order to resolve the duplicate error.
    4. Click Save. A green bar appears, indicating the provider assignment was saved. The provider assignments listed under the selected Trade updates.

    How to Retire a singular service provider from a Trade from the Provider Assignments tab:

    1. 1n the Provider Assignments page, click the desired Trade. The Provider Assignment overlay window for that trade will appear.
    2. For the desired Provider, select Retire from the Rank drop-down menu.
    3. Click Save. A green bar appears, indicating the provider assignment was saved. The retired provider assignment is removed from the list.

    How to Retire all service providers from a singular trade from the Provider Assignments tab:

    1. On the Provider Assignments page, click the desired Trade. The Provider Assignment overlay window for that trade will appear.
    2. For all Providers, select Retire from the Rank drop-down menu.
    3. Click Save. A green bar appears, indicating the provider assignment was saved. The entire trade is empty, and lists as an Open Trade.
