Viewing and Sorting Work Orders in FTM Mobile

    On each work order in FTM Mobile you can:

    • check in and out of the work order, which logs your work time;
    • change the status of the work order;
    • add photos and notes to the work order;
    • reassign the work order to another technician or another service provider;
    • decline the work order; and
    • cancel the work order if the job is no longer necessary.

    Viewing Work Orders

    You may view work orders that are either assigned to you or assigned to others in your geographical area.

    By default, you will first see your assigned work orders under the Assigned to Me tab.

    By tapping All In My Area, you can see work orders assigned to others. This is beneficial in case another technician needs help, or if someone is not at work for that day and you can pick up the job.

    Work Order Assignments in FTM Mobile

    On each work order you will see the following details:

    • Assigned to: the list of technicians to which the work order is assigned. It is possible for a single technician to be assigned to a work order, but then other technicians also accept the work order should the original technician need help or has called out sick.
    • Accepted by: the list technicians who have accepted the work order. This is beneficial if there are multiple technicians needed for a job.
    • Trade: The trade the work order is under. In this example, the trade is marked as Audio Video.
    • WO# and Status: The Service Automation tracking number, alongside the status of the work order.
    • Location: The name and address where the work needs to be done.
    • Priority: The range of time the work order should be worked on.
    • Store Manager: the manager of the location, as configured in Service Automation.
    • Scheduled Date: The day the work order is scheduled to be worked on, based on the Priority. A red scheduled date (as depicted) means the work order is considered late, as no one had checked into the work order on time.

    Viewing Work Orders 'Assigned to Me'

    When a work order is assigned to you, you will see it in the list when you tap Work Orders from the FTM home page.

    Each work order has specific details and notes that provide more information.

    Note: You will only see work orders assigned to your internal staff. You will not see work orders assigned to external service providers.

    How to view work orders assigned to you:

    1. On the FTM home page, tap Work Orders. The work orders assigned to you appear.
      • From this view you will see the WO Status, Trade, WO#, Location details, Priority, Store Manager information, and Scheduled Date.
    2. Tap the work order to view more details.
      • From this view you will also see the Call Date, Caller, NTE, Asset, Parts, Tracking#, WO#, PO#, Category, any Linked Work Orders, and Notes.
    3. Tap Notes to view all communications about the work order.

    Viewing Internal Work Orders 'All in My Area'

    You can view all work orders assigned to other internal technicians. This is beneficial so you are able to pick up another job, or assist another internal technician on another job. By default, the work orders closest to you will appear on the top of the list.

    Note: You will only see work orders assigned to your internal staff. You will not see work orders assigned to external service providers.

    How to view all internal work orders in your area:

    1. On the Work Orders list page, tap All In My Area. The list of internal work orders displays.

    Reviewing Work Order Details

    On each work order in FTM mobile you will see the following details:

    • Description: The explanation of the problem, as entered while placing the service request.
    • Status: The current stage of the work order.
    • Priority: The range of time the work order should be worked on.
    • Scheduled Date: The day the work order is scheduled to be worked on, based on the Priority. A red scheduled date (as depicted) means the work order is considered late, as no one had checked into the work order on time.
    • Call Date: The date the work order was generated.
    • Caller: The person who submitted the work order.
    • Trade: The line of work under which the work order falls.
    • NTE: An acronym for not to exceed, it is the maximum amount the service provider may charge for the service listed on the work order.
    • Asset: The list of related asset types, as configured in Asset Manager.
    • Parts: the list of parts purchased for the work order, including quantity and price.
    • Tracking Number: This is the automatically generated number for a work order. This number cannot be changed.
    • Work Order Number: These editable numbers allow you to put custom numbers that align with your current business practices.
    • Purchase Order Number:  These editable numbers allow you to put custom numbers that align with your current business practices.
    • Category: Classifications that are created in the system by the administrator to group different types of work orders, such as repair or maintenance.
    • Linked Work Orders: The list of work order numbers related to the current work order.

    Sorting Work Orders

    You can sort your work order lists by the following criteria:

    • Store Number: Using your mobile device’s GPS location (or Location Services), the work orders list from the stores closest to you to the ones farthest away, with the appear on the top of the list.
    • Priority: The work orders list from the highest priority to the lowest, with the highest appearing on the top of the list.
    • Scheduled Date: The work orders list from the earliest scheduled date to the latest, with the earliest ones appearing on the top of the list.
    • Call Date: The work orders list from the earliest call date to the latest, with the earliest appearing on the top of the list.

    How to Sort Work Orders

    1. On the work order list, tap Sort. The Sort WOs By… menu appears.
    2. Tap the desired Sort By option.
    3. Tap the X in the top-right corner of the menu to close. The list will reorder based on your selection.
