About Decision Engine Proposals

    On average, facility operation teams take more than a couple of days to approve a proposal, and more than 80% of them are routinely accepted. Even when proposals are rejected, providing useful feedback for service providers so they could resubmit their bids is often a cumbersome process.

    Decision Engine in Proposal Manager helps you make better decisions as you approve and reject proposals, and helps you communicate to service providers why proposals were rejected. For rejected proposals, you can select why a proposal was rejected based on reason codes and reason explanation, so service providers have more information and can adjust and resubmit their proposals.

    Note: Decision Engine recommends actions only on a per-proposal basis. When reviewing proposals for the same RFP, Decision Engine will not recommend the best proposal out of all submitted for the same RFP. It will only give recommendations on each proposal without regard to any linkage to the same RFP.

    Decision Engine is available in both Service Automation and SC Mobile.

    Taking Action on Proposals

    When you receive proposals from service providers you may approve, reject, or place them on hold for further conversation with your team and/or provider. You may also assign the proposal to another person within your organization.

    With Decision Engine analyzing your historical data and decisions, as well as your operational data points (such as trade, category, price, and provider compliance and performance, for example), you will have confidence-based recommendations along with supporting information.

    There are four elements to Decision Engine:

    1. Recommendation: a proposal will have a recommendation of Approve or Reject. When there are no data, insufficient data, or a neutral decision based on data, it will display No Recommendation.
    2. Proposal Price Quartiles: displays the cost of the current proposal, and where it falls within your history of approved proposals, ordered from lowest to highest.
      Note: Only the primary currency displays in Price Quartiles.
    3. Service Provider Performance: analytic metric data about the provider (grade, percent of work orders with negative feedback or recalled, and provider compliance) that supports the recommendation.
    4. Similar Work Orders and Proposals: displays the 5 most recent work orders and proposals that are similar to the current work order and proposal scope of work.
